2025 Abstract Submission Guidelines
Please follow the requirements set forth below. Abstracts that do not follow the guidelines/formatting will not be considered for acceptance to the conference. Please see our website webinar series for a great step-by-step on how to write an abstract.
- Abstracts need to be one page or less not including references or figures.
- One figure/table allowed per abstract.
- Abstracts without references will not be accepted.
- All abstracts must have the following sections:
- Background: must have citations
- Methods: include IRB status
- Results: preliminary results are allowed for submission with the intention to have full results by the time of the conference
- Conclusion
- References
- References should be formatted in accordance with the U.S. National Library of Medicine’s Citing Medicine, 2nd edition style guide. The ICMJE Recommendations: Sample References webpage also has examples of reference formats.
- For in-text citations, use numeral superscripts
- Each reference should include a doi or URL
- All abstracts are required to be submitted in PDF format.
- All abstracts should be formatted with 12pt Times New Roman font and 1” margins.
- A maximum of 10 authors will be allowed, maximum of 2 co-first authors
- Author names and affiliations should not be included in the abstract pdf file itself, only listed on the platform submission form. However, it is not a requirement to have a fully de-identified abstract; it is acceptable to have the clinic name, city, patient population, etc. included in the abstract for clarity. However, please only include these details as necessary and within reason.
- Only 2 people maximum will be allowed to stand at a poster at one time*depending on space
- Only 2 people maximum will be allowed to present oral presentations
- By submitting your abstract, you are agreeing to have your poster uploaded to our internal database and records, this will not be published to the Journal of Student Run Clinics.
- You may not submit an abstract that has already been presented at our conference in the past or if it has been published in a journal.

Abstract submissions open

May 2nd 2025
Abstract submissions deadline is 11:59 PM PST
June 30th 2025
Decisions will be sent out by 11:59 PM PST which will include your presentation type and estimated time of presentation
Please note:
Presentation times may change, we will notify you ASAP if this happens.
Requests to change presentation times will not be allowed after August 1st, 2025 at 11:59 PM.

The 2024 Annual Conference of the Society of Student Run Free Clinics was held on October 18-21, 2024 in Philadelphia, Pennsylvania. It brought together over 500 healthcare professional students, advisors, and professors from over 80 different schools to network, collaborate, and learn about the latest research and developments in individual free clinics.
